How to get the right link for your evidence

Each evidence entry in AffirmReady includes a link to where the item lives in your own system. This guide explains which link to use, how to get it from the most common systems, and how to fix links that do not open.

File or folder?

Either is fine. If one document proves a requirement, link to that file. If several files support one requirement, such as monthly antivirus reports, link to the requirement's subfolder. If one document supports several requirements, such as a security policy, you can use the same link in more than one entry.

Where to find the link

  • SharePoint or OneDrive: three dots (More actions), then Copy link, with the setting People with existing access. See KB-041.
  • Google Drive: right-click, Share, then Copy link, with General access set to Restricted. See KB-042.
  • Dropbox: Share, then check the link settings before copying. See KB-043.
  • Box: Share, then Copy link, with the link setting People in your company or Invited people only.
  • Office server or shared drive: these do not create web links. Instead, copy the folder path. In File Explorer, hold Shift, right-click the folder, and choose Copy as path. Paste it into the evidence entry, for example \\officeserver\Shared\CMMC L1 Evidence\3 Media Protection.

For server paths, use the server name rather than a drive letter like S:\. Drive letters can be different on each computer, while the server path is the same for everyone.

A quick safety check

Want to be sure a link is not open to the public? Open a private or incognito browser window, paste the link, and press Enter. If it asks you to sign in, the link is properly restricted. If the file opens without signing in, go back to the sharing settings and tighten them.

When a link does not open

  • It asks me to sign in or request access. This is normal for anyone who does not already have permission. Ask the folder owner to add them to the folder, not to change the link to Anyone.
  • It says the file cannot be found. The file was probably deleted or moved outside the original location. Find it, copy a fresh link, and update the evidence entry.
  • A server path will not open from the browser. That is expected. Browsers cannot open office server paths. The path is there so your team knows where to look.
  • The link opens the wrong version. Make sure you linked the file itself, not an old copy someone downloaded or emailed.

What never goes in an evidence entry

Never paste passwords, MFA codes, account numbers, or other secrets into AffirmReady, even in a description. Describe the evidence and link to where it lives instead.
