If your company uses Google Workspace (Gmail with your company's domain), you can keep your evidence in Google Drive. This guide shows how to set up the folder and copy links for AffirmReady.
Shared drive or My Drive?
If your Google Workspace plan includes shared drives, use one. Files in a shared drive belong to the company, so nothing disappears if an employee leaves. If you do not have shared drives, My Drive works, but have the owner or a long-term leader create the folder so it stays with the company.
Please avoid using a personal Gmail account for company evidence. A business account your company controls is easier to manage and protect.
Step 1: Create the shared drive (if you have them)
- Open drive.google.com and sign in with your work account.
- Select Shared drives on the left, then New.
- Name it something like Compliance and select Create.
- Choose Manage members and add only the people who need access.
Step 2: Upload the folder kit
- Download and unzip the AffirmReady folder kit (see KB-040).
- Open your shared drive or My Drive.
- Select New, then Folder upload, and choose the CMMC L1 Evidence folder. You can also drag the folder into the browser window.
- Open the folder to confirm the subfolders uploaded.
Step 3: Copy a link for AffirmReady
- Right-click the file or folder you want to record and choose Share, then Copy link.
- Check the General access setting in the share window. It should say Restricted, which means only people you have added can open it.
- Paste the link into the evidence entry in AffirmReady.
If General access says Anyone with the link, change it back to Restricted. Copying a link does not change who can open the file, but an Anyone setting means the link works for people outside your company.
Helpful tips
- Google Drive links keep working when you move or rename files, so you can reorganize without breaking your AffirmReady entries.
- Linking to a requirement subfolder is often simpler than linking to every file.
- If you install Google Drive for desktop, the folder shows up on your computer and you can save screenshots straight into it.
If your screen looks different
Menus change from time to time. If a button or setting name does not match what you see, the goal is the same: a folder only your team can open, and a link that only works for people who already have access.
